What are Actions?
Workflows are made up of Actions, or sub-processes. Actions are the building blocks of Workflows.
A Workflow always begins with a Start action, which is always the first page that is displayed to your users when they run the workflow via the User Application, or any web browser. For more information, see Start Action.
After the Start action, you are required to add at least another Action to a Workflow, since Workflows are generally made up of two or more Actions.
Adding an Action to a Workflow
To add an Action to a Workflow:
- Position your cursor over an Action, for example a Form action, on the list to the left, then drag the Action to the canvas of the Workflow Editor.
- Position your cursor over the Action, then click Edit to open the Action Editor.
- On the Action Editor, define the settings for the action.
- Click the x button on the top left of the Action Editor to save and close the Action.
Repeat the procedure to add more Actions to the Workflow.
Linking Actions in a Workflow
You will need to link Actions before you can use a Workflow. If Actions are not linked, they will not be run as part of the Workflow.
To link an Action to another Action:
- On the Workflow Editor, look for the Action on the Workflow that needs to be linked to another Action.
- Position your cursor over the Action, click the Chain icon, then select the Action to which the Link will be added.
Repeat the procedure to link more Actions in the Workflow.
Editing an Action in a Workflow
To edit an Action in a workflow:
- On the Admin Dashboard, position your cursor over the Workflow to be edited, then click the Edit button.
- On the Workflow Editor, look for the Action on the Workflow that needs to be edited.
- Position your cursor over the Action, then click Edit to change the definition of the Action.
- Click the x button on the top right of the Action Editor to save and close the Action.
Repeat Steps 2-4 to edit more Actions on the Workflow.
Previewing an Action
While adding or editing an Action, you can preview it and check if it works as you intend by clicking the Preview button on the top-right of the Action Editor.
Copying an Action
You can copy Actions other than the Start action. Copies of actions will be configured in the same way as the original, though they can also be edited like other actions.
To copy an Action:
- On the Workflow Editor, look for the Action on the Workflow that needs to be copied.
- Position your cursor over the Action and click the Copy icon. The Action is then copied onto the Workflow Editor.
Deleting an Action
You can delete Actions other than the Start action.
To delete an Action:
- On the Workflow Editor, look for the Action on the Workflow that needs to be copied.
- Position your cursor over the Action and click the Delete icon. The Action is then deleted from the Workflow Editor.
To delete the Action while it is open in the Editor, click the icon on the top right of the Editor, then click Delete.
